CAT Workflows

Summary

Explanation of the CAT Approval Workflow

Body

Overview

Workflows in CourseLeaf CAT are used to review, approve, and publish catalog content changes. A workflow ensures that updates are reviewed by the appropriate individuals before they become part of the official College Catalog.

Depending on the page or content being edited, different workflows may be assigned. Users will only see workflow options that correspond to their assigned permissions and role.

What is a Workflow?

A workflow is a series of approval steps that a page moves through after an editor submits changes.

Rather than publishing changes immediately, CAT routes the page to designated reviewers who verify that the content is accurate, complete, and ready for publication.

Typical workflow participants may include:

  • Department Editors

  • Curriculum Office

  • Catalog Administrators

The exact workflow varies depending on the type of catalog page.

Workflow Status

Each page displays its current workflow status in the toolbar on the right-hand side of the screen.

Submitting a Page to Workflow

Once editing is complete, select Start Workflow from the CAT toolbar. The page will automatically move to the next assigned reviewer in the workflow.

Approving a Page

When a page reaches you as an approver in a workflow step, it will appear on your CourseLeaf Dashboard in the Workflow Tab.

Open the page to review the changes and select the appropriate action:

  • Approve

  • Rollback, or

  • Deny

Enter comments to provide context for the next reviewer and submit your decision.

Workflow Comments

Workflow comments create a record of decisions and requested changes throughout the approval process.

Best practices include:

  • Explain why changes are requested.

  • Be specific about what needs to be updated.

  • Include references to policies or style guides when appropriate.

  • Keep comments professional and concise.

Workflow comments remain part of the page history for future reference.
