Overview
Based on data from HR Faculty Tracking page, the Class Evaluation Table in the Viking Student System allows users to review evaluation periods, identify instructors and classes that will be evaluated, and manage exclusions for both classes and faculty members.
Viewing Class Evaluation Table
Access the Class Evaluation Table using the Curriculum Management Tile in the Staff Homepage in the Viking Student System.

On the side Navigation, click on the Class Evaluation folder to view the “Class Evaluation Table” and it will bring up the search page.
- In the “Term” field, search or enter in the term value. For example, use 1765 for Fall 2026
- Hit search to bring up results

Search result page will open up. Select the Academic Organization you would like to review.

Example Academic Organization AH_D and Term 1765 is selected.

- Here you will find important instructions regarding maintenance timelines.
- Session evaluation timeline also listed indicates the start and end of evaluation period.
- Estimated time when reports will be available for each session type.
- Instructor list of those being evaluated.
Using the “Classes” link you can review the list of classes associated with the instructor and session.
Note: Classes list only displays classes in the First 8-Week, 12 & 16 Week and Last 8-Week session types.
The Class page displays all classes scheduled for evaluation.

Excluding Faculty Member from Evaluation
You can exclude an instructor from the evaluation process at the instructor level when necessary. In certain situations, an instructor may need to be removed from evaluation requirements.
Note: Please note that excluding an instructor from the evaluation list does not update the tracking page used by HR to monitor instructors who require evaluations. You must still contact the appropriate HR specialist to ensure records are updated accordingly.
- Navigate to the Instructor List
- Locate the faculty member
- Select the Exclude checkbox
- Save your changes
When a faculty member is excluded:
- All classes associated with that instructor are excluded from evaluation.

Audit Fields Tab: Audit field page tracks changes made by individual users.

Excluding a Single Class from Evaluation
You can exclude an individual class from the evaluation process when necessary. Excluding a class removes only the selected class from the student survey process and does not affect any other classes associated with the instructor.
To manually exclude a class:
- Navigate to the instructor’s class list.
- Locate the class you want to exclude.
- Select the Exclude option from that class.
- Save your changes.

Note: Classes with an enrollment of five or fewer students are automatically excluded from the evaluation process. The class will remain excluded until enrollment exceeds the established threshold.

Adding a Faculty Member to Evaluation
There are times when a department or faculty member may wish to participate in class surveys during a semester in which they are not scheduled for evaluation. You can add the instructor to the survey process by selecting the Add Instructor button located at the bottom of the instructor list.
To manually add instructor:
- Navigate to the instructor’s class list.
- Locate the “Add Instructor” button.
- Add the EMPLID by using the Magnify search to locate instructor.

warning message will appear indicating that the instructor is not listed as due for evaluation in the HR tracking system. Select OK only if you are certain that you want to add the instructor to the evaluation process.
- Save your changes.
Note: The instructor is added to the instructor list, and the Elective flag is automatically set to indicate that the instructor was voluntarily added to the survey process. A Trash icon is also available, allowing you to remove any self-elected instructor that was added in error.

Page Display Messages
The system displays several messages and indicators during viewing or updating process.
Message at time of viewing an academic organization.
- This message indicates that the identified faculty member is not listed in the HR tracking system. This may occur if the instructor is a new hire or if they teach in multiple departments or disciplines, such as Reading and English and not listed in both.

- This message indicates that the faculty member's information has been updated in the system.
