Taking Action on Workflows

Overview 

The CourseLeaf Dashboard is the hub to facilitate a centralized, more personalized user experience.  

Workflow Tab 

The Workflow tab sits to the right of the Items tab. If a person has items in workflow there will be a number indicating how many on the tab. The dashboard will automatically generate filters for all roles you are assigned. From this, it will generate a list of pages that are currently assigned to you in workflow for action. 

Approval Screen 

When clicking a line item in the Workflow tab, the page you must review and take action on will pop out into a new Approval Screen. In this page, you can review changes using the Filter by: drop down menu, review page information, print page, or review the assigned workflow.  

Once you are ready to act, you can click Edit, Rollback or Approve. 

  1. Edit – As an approver, you can edit the page in workflow. These edits will move forward to the next approver in the assigned workflow. 

  1. Rollback – If changes are not ready to be published and you’d like to return to a person previously in the workflow, click Rollback. You will need to select who you’d like to roll the page back to and enter comments to clarify this decision.  

  1. Approve – By selecting Approve, this moves the page to the next step in the assigned workflow. 

Workflow Comments 

Workflow comments create a record of decisions and requested changes throughout the approval process. 

Best practices include: 

  • Explain why changes are requested. 

  • Be specific about what needs to be updated. 

  • Include references to policies or style guides when appropriate. 

  • Keep comments professional and concise. 

Workflow comments remain part of the page history for future reference.
